Case Study

A custom marketplace for a fashion distributor

A small team managing thousands of orders from hundreds of fashion brands. Until 2024, the whole workflow was spread across manual tallies, Telegram and separate order forms.

The problem to solve

Before 2024, Sarysshop ran on:

  • Manual tallies on e-commerce platforms
  • Telegram for uploading products
  • A separate order form
  • Payment and order status updates sent to customers by hand

With no central system, mistakes crept in easily when data was entered and processed.

Why this approach

The Sarysshop team wanted a custom e-commerce system built around how they work. It had to:

  • Show products as a catalog
  • Upload and manage products from many brands at once
  • Handle a pre-order flow that other e-commerce systems don’t offer
  • Produce the reports a distributor needs

What we built

Working from those problems and requirements, we built ChicSpace around four main features.

Web-based, nothing to install

The catalog and the full ordering flow run in the browser, so customers can use it without installing an app.

The ChicSpace catalog page in a browser: two sections, Pre Order Catalog and Ready Catalog, each with product cards showing the price and PO deadline, and a list of brands in the right-hand column.
Pre-order and ready-stock catalogs in one storefront, with the brand list on the right.

Uploading and managing products from many brands at once

Catalog management moved out of Telegram chats and onto one page with bulk import, where products from every brand are uploaded and edited.

One catalog table for every brand, with bulk import at the top right.

A pre-order flow other e-commerce systems don’t have

Orders move through the stages a distributor uses: order placed, down payment, processing, final payment and shipping. Customers can see the status of each stage, so nobody has to message them updates by hand.

The ChicSpace order status panel with five numbered steps (Order Placed, Down Payment, Order Processing, Final Payment, Choose Shipping Address), each with a date and time.

Producing the reports a distributor needs

Sales figures, order counts and best-selling brands come from the same transactions the operations team works with. Nobody rebuilds a tally at the end of the period.

The ChicSpace dashboard with a date range, three summary figures (Total Sales, Orders and Total Customers) and two tables, Best-Selling Brands and Best-Selling Catalogs.

The impact

With ChicSpace, the Sarysshop team reached:

  • 1,000+ orders a month, up 20%
  • 400+ storefronts shown a month, up 33.3%
  • 330+ fashion brands managed, up 25%
  • 5 admins running the whole operation, down from 9

The system runs at sarysshop.id.

“This app makes our work much easier. We used to rely on several separate systems, and now everything is in one platform. Managing the business is more efficient, more systematic and better organized.”

Dyah Puspitasari, Owner of Sarysshop
